How to navigate the dashboard
Learn how to manage background checks using the Requests dashboard.
Once you place your first background check request, the Requests Dashboard becomes your primary hub within the Veremark platform.
Here's how to effectively manage and monitor your background check requests from the dashboard.
1. Request Stages (Color-Coded Statuses)
Requested (Light Blue)
What this means
The screening request has been sent to the candidate, but they have not yet completed or submitted their information form.
What you can do
- See key details, such as when the request was sent and the latest follow-up activity.
Note: You cannot click the candidate's profile while the request is in the Requested stage.
In Progress (Gray / Light Gray)
What this means
The candidate has submitted their information, and Veremark's Operations team is actively completing the requested background checks.
What you can do
- Open the candidate's profile.
- Monitor the real-time progress of each individual check.
- Review updates as they become available throughout the verification process.
Completed (Green)
What this means
All requested background checks have been completed, and the final report is available.
What you can do
- Open and review the completed report.
- Download or share the report, if applicable.
- Check the overall screening outcome. If no issues were identified, the report will display an All Clear result.
Paused (Gray / Light Gray)
What this means
One or more checks have been temporarily placed on hold while additional information or action is required from the candidate.
Common reasons include:
- The candidate needs more time to provide a required document.
- Additional information is required from the candidate.
- Veremark is waiting for a response from an employer, educational institution, or another verification source.
Cancelled / Closed (Dark Blue)
What this means
The screening request has been cancelled or permanently closed.
What you can do
- View the request for reference.
- Submit a new screening request if verification is still required.
Note: No further verification activity will be carried out on a cancelled or closed request.
Review Needed / Action Required (Pink)
What this means
One or more background checks have identified a discrepancy or require additional review before the screening can be considered complete.
Once the screening is finalised, the overall request status will change to Review to indicate that your attention is required.
What you can do
- Open the candidate's profile to review the completed report.
- Review the check(s) that have been flagged for discrepancies or require further assessment.
- Determine any next steps based on your organisation's internal hiring or compliance process.
Note: A Review Needed / Action Required status does not automatically mean a candidate has failed the screening. It indicates that one or more results require your review before a final decision is made.
Expired (Red)
What This Means
The Expired status on the Veremark Requests Dashboard applies specifically to the candidate's data entry and consent link. This status indicates that the candidate did not complete and submit their screening form within the allotted 30-day period.
What You Can Do
Reactivate the Link
An expired request can be manually reactivated up to five (5) times.
Once the request is reactivated:
- The candidate is given 10 days to complete their online data entry and submit the required information.
How to Reactivate an Expired Request
- Navigate to the Requests tab.
- Search for the candidate's name.
- Click Actions next to the candidate's request.
- From the drop-down menu, select Reactivate Request
2. Manage your background check requests
The Requests dashboard makes it easy to track progress and manage your background check requests.
View request progress
Select a candidate to open their Request Profile, where you can:
- Track the progress of each individual check.
- View uploaded documents.
- See if any additional information is required.
Cancel a request
If the candidate has not yet submitted their information, you can cancel or delete the request within 24 hours by selecting the three-dot (⋮) menu next to the request.
If the candidate has already submitted their information, the request can no longer be cancelled from your account. Please contact our Client Support team for assistance. Please note that cancellations requested after the candidate has submitted their information may be subject to charges, as outlined in our Terms of Service.
Filter your requests
Use the filters to quickly find requests by status, date, or account. You can also export your request list as a CSV file if needed.
Download reports
Once a screening is complete, you can download the report and any available supporting documents directly from the dashboard.
Keep an eye on pending requests
Requests in the Requested stage are waiting for the candidate to complete their information. Veremark automatically sends reminder emails to help keep the process moving.
Tip: Candidate invitation links are valid for 30 days and can be reactivated if needed.
Move to Archive
This feature allows users to remove completed, cancelled, or reviewed candidate requests from the Live Dashboard. Archiving helps keep the dashboard organized while preserving all candidate data and documents. Archived requests are not deleted and can be accessed at any time through the Archive view.
