How to adjudicate a check result

Adjudication is the process of reviewing a completed background check and determining the final outcome based on your organization's hiring policies and risk criteria.

Once a check is complete, authorized users can update its status if needed. This allows your team to make decisions that align with your internal review process while maintaining a complete audit trail.

What you can do

1. Update Check Status

  • Authorized users can update a check status to align with their organization's hiring policies and internal review process, even if the outcome differs from Veremark's assessment.

2. Reverse a Status Change

  • Every status change is automatically recorded to support transparency and compliance. The audit trail includes:

    • Previous and updated status
    • Date and time of the change
    • User who made the change
    • Any reason or supporting notes provided for the status update

3. Transparent Audit Trail

  • A clear distinction will be established between statuses assigned by Veremark and those modified by users, promoting transparency in the change history.

  • Every action related to status changes will be meticulously logged in the audit trail, capturing timestamps and user identities, which can be easily accessed in the Candidate report view.

4. Add a Reason for the Change

  • When changing a check from Review to Completed, or from Completed to Review, users can optionally add a note explaining the reason for the update. This helps document internal decision-making and provides context for future reference. 

5. Check-Level Modifications by Admin Users

  • Status changes are applied to individual checks rather than the entire screening. Only users with administrator permissions can update check statuses, ensuring appropriate access control.

How to Use the Feature

1. Open the Check

  • From the Requests or Candidates page, select the case and open the check you want to update.

2. Initiating Status Change

  • Locate the current status of the check and select the desired action to transition between "Review" and "Completed."

3. Add a Reason (Optional)

  • When changing the status, you can add a note explaining your decision. This can be useful for documenting non-blocking findings or providing additional context for your team.

4. Save the Change

  • Confirm the status change to record it in the audit trail, including the timestamp and the user who made the update.

Important Note on Status Changes

Changing a check status updates the status displayed in your account only. It does not:

  • Change Veremark's original assessment
  • Affect the screening results
  • Speed up or alter any screening activity or workflow managed by Veremark
